Procurement Coordinator
Location: Boston, MA/Austin, TX
Position Overview:
Job Description
The Procurement Coordinator supports Six Red Marbles’ publishing operations in resource data management and data analytics. They are responsible for assisting in the management of SRM’s external freelancers, contractors, and vendors. They own the coordination and ensure the execution of all aspects of contractor contracts, work orders, and purchase orders. They are responsible for collaborating with project team members and managers to curate accurate project information including details of the work, acceptance criteria, and terms of the contractor engagement. They will coordinate with the Executive Director of Global Procurement on contractor rates and terms and will be the lead for maintaining and managing the vendor database. Vendor database management will include simple- to medium-level data analytics.
Responsibilities
Vendor Contract Management
- Evaluate vendors as new or existing and follow appropriate protocol for creating, delivering, and executing contracts
- New or renewing vendors: master service agreement, work order, purchase order
- Existing vendors: work order, purchase order
- Manage vendors throughout the contracting process, delivering contracts, providing instruction, answering questions, and ensuring the timely return of executed contracts
Vendor Database Management
- Add and update vendor information to the vendor database throughout the contracting process and vendor engagement: contracts, scorecards, rates, negotiation and cost avoidance data, and other information as appropriate
- Support accurate tracking and analysis of ongoing monthly cost avoidance by gathering quantities from project teams and tools as needed
- Support data analysis and reporting of all aspects of freelancer/supplier utilization, quality, on-time fidelity, and other KPIs
- Provide support for sourcing opportunities and negotiations by analyzing historical database information
- Update and maintain prospective vendors in database and review as needed for sourcing opportunities
- Source missing data as needed, including attachments and past contracts
Other Vendor Data Management
- File MSAs, NDAs, and active and prospective resumes in Microsoft Teams in a timely and accurate manner
- Update and maintain vendor instruction and process documentation as needed
- Update and maintain vendor contract tracker, including purchase order details
- Update and maintain countersigned contract folder using project-based folders
- Update and maintain file of missing names in conjunction with project teams
- Create freelancer template-based PDFs to go out to freelancers for signature and store in Microsoft Teams
Supplier Management
- Assist as needed in resource recruiting through postings, professional networking, and vetting of potential candidates
- Assist as needed with the onboarding of new subcontractors and vendors
- Support as needed, under guidance and direction, outreach to vendors for negotiation and sourcing efforts
Other
- Develop and maintain successful working relationships within SRM cross-functional teams
- Demonstrate critical thinking and apply to reporting, KPIs, and data analytics
- Maintain high accuracy, quality, and timeliness within job responsibilities
Desired Skills and Experience
- Well-organized, detail-oriented, highly analytical, and possess strong problem-solving skills
- Able to manage multiple initiatives simultaneously
- Thrive in a fast-paced environment and be able to adapt quickly to meet changing goals or shifting priorities; self-disciplined and self-motivated
- Strong business acumen with specific attention to data metrics and KPIs
- Excellent customer service skills and strong interpersonal and communications skills (verbal and written) across all levels, internally and externally
- Experience working with cross-functional teams in a matrix environment
- High proficiency with Microsoft suite of products, Adobe, and Smartsheet or similar tools
- Minimum of four years of experience in a support and data analysis role
- Project management skills a plus
- Experience in educational publishing a plus
- Bachelor’s degree preferred with an interest in business administration or supply chain management
